What to expect when you work with us

INFECTIOUS DISEASE & COVID-19 PROCEDURES

In-person or video sessions are scheduled at each therapist’s discretion.

If you become sick or display any concerning symptoms associated with COVID-19 or any other infectious disease, please reschedule your appointment or switch to a video session - this provides safety to you, our team, and the rest of our clients.

Your First Session

Come as you are to your first, pressure-free session. Please read below to arrive ready and prepared.

  • 01 | Session Location

Your first session might be over video through our HIPAA secure health system or in-person; each clinician manages their own schedule.

  • 02 | Required Forms

We’ll send you initial forms to complete in your new client portal and review your answers in the session. These need to be completed before your session begins to avoid using any appointment time for completion.

  • 03 | Your Goals

We’ll discuss your goals, get to know you, and make initial treatment recommendations. You can bring specific questions, or none at all; no agenda needed. If it feels like a good fit, we’ll end the session by scheduling your next appointment!

  • 04 | Arrive Early

We recommend allowing extra time to find the office or set up audio and video settings before the session.

  • 05 | In-Person Appointment

If attending in person: We are in Building 6, straight ahead from the main entrance. Your therapist will provide you with the door code prior to your appointment. Grab water, coffee, or tea in our lobby as you wait for your therapist to come to you.

  • 06 | Virtual Appointment

If attending virtually: Virtual sessions done in vehicles usually have connectivity issues with the secure video portal. You will have the best experience when you are connected to strong WiFi. You will be sent a unique link for each session by email or text.

Your Payment Options

We provide flexible options for you to get the most out of your sessions.

Out of Network benefits: If you’d like to use Out of Network benefits, you’ll pay your clinician out of pocket at the time of service. Then, we will provide a Superbill (receipt to give the insurance company) for you. Learn more about how to use these benefits to work with a therapist that does not take your insurance or use the Mentaya tool below to instantly check your benefits.

Payment Methods

Copays are due at the time of session by adding your credit or debit card number into your secure portal. Payment information must be provided before scheduling sessions. An active card number must be on file at all times to continue ongoing sessions.

Planning your treatment

A plan for your success and wellbeing, co-created together.

Prior to your first session, you will complete intake forms in your secure client portal. Initial forms will include assessments that show your current baseline functioning, and everything will improve from there!

We will set aligned goals and do regular check-ins to make sure we’re achieving the results you hoped for. We also have flexibility to change those goals along the way as you discover new insights and begin to engage your life in new ways.

PLEASE NOTE

Those using insurance will be advised that your insurance carrier may request access to your records and plans to monitor your treatment. We make every effort to balance their requests with keeping your personal details private. Some clients prefer to not use their insurance for sessions in order to guarantee total privacy and control of the treatment process.

Good Faith Estimate Disclaimer

Under Section 2799B-6 of the Public Health Service Act, the “No Surprises Act,” you have a right to receive a “good faith estimate” explaining how much your therapy services will cost.  Healthcare providers are required to provide clients who do not have insurance or who choose not to use their insurance for therapy services with an estimate of the cost of those services.

  • You have the right to receive a Good Faith Estimate for the total cost of therapy services

  • Make sure your therapist gives you a Good Faith Estimate in writing at least 1 business day before your appointment.  You may also ask your therapist for a Good Faith Estimate before you schedule an appointment.

  • If you receive a bill that is at least $400 more than your Good Faith Estimate you can dispute the bill.

  • Make sure to save a copy or picture of your Good Faith Estimate.

For questions or more information about your right to a Good Faith Estimate, visit www.cms.gov/nosurprises or call HHS at 1-800-958-3059.
